Frequently Asked Questions

Q: Will our existing license agreement remain valid under Novotx, or will we need to sign a new contract?

Your current license agreement with VHB will remain in effect through December 31, 2025. Novotx will be reaching out in the coming weeks to establish a new agreement that ensures uninterrupted access to SAM IS®services and hosting. No immediate action is required on your part. Our goal is to make this transition seamless and beneficial, and we’ll provide clear options and terms well in advance to support your continued use of SAM IS® You may also reach out to Jed Call at jcall@novotx.com or Mike Schwab at mschwab@novotx.com to discuss the transition.

Q: Will our historical data and configurations be preserved?

Yes. Your historical data, including inspections, queries, maps, and all other configurations within SAM IS®, will remain intact. VHB and Novotx are working closely together to ensure a secure and complete migration of your SAM IS®environment. Our teams are conducting QA checks to verify that no data is lost or altered during the transition. Preserving your data integrity is a top priority, and we’re committed to making the process seamless.

Q: Will our data be transferred to Novotx, and how will it be protected?

Yes. Your SAM IS® data will be securely transferred as part of the transition of the ownership of SAM IS® to Novotx. This includes all hosted data, configurations, and historical records. We are working closely with Novotx to ensure the migration is handled with the highest standards of data security and integrity. If you prefer not to have your data transferred, please notify VHB directly. Should you not want your data transferred to Novotx please advise VHB by December 29th, 2025

Q: Will we still fully own and control our data under Novotx?

Yes. Your organization retains full ownership of all data in SAM IS®. This includes historical records, configurations, and hosted content as mentioned above. Novotx will continue to honor your data rights and ensure that your information remains secure, accessible, and under your control throughout and beyond the transition.

Q: Will there be changes to the hosted environment or integrations we rely on?

 As part of the transition, your SAM IS® environment will securely be migrated over to Novotx. While core functionality and integrations you rely on will remain unchanged, as part of the migration, a new access URL may be necessary. If required, this new URL will be provided to you once the transfer is complete and ready for you to access.

Q: Will current features remain available?

Yes. All current features and the modules you license will continue to be available.

Q: How long will Novotx support the current version of the software we use?

Novotx is committed to fully supporting the current version of SAM IS®and will commit to continued support, maintenance, and compatibility updates for the current version. A future upgrade path will include the Novotx enterprise asset management platform, Elements XS. When an upgrade path is offered, it will run in parallel, so you have time to transition to their new platform. Their goal is to provide continuity while giving you access to new asset management and work management capabilities when you’re ready.

Q: Will the software continue to integrate with the Esri GIS tools and platform and third-party systems we currently depend on?

Yes. All existing integrations, including those with Esri ArcGIS solutions, will continue to be supported when SAM IS® is transitioned. Like VHB, Novotx is also an Esri Business Partner, with deep expertise in GIS-based asset management, and our platforms are designed to work seamlessly with ArcGIS. Our priority is to maintain the interoperability you rely on today while continuing to enhance integration capabilities over time.

Q: Will there be changes to the pricing model, subscription fees, or maintenance costs?

Your current access to SAM IS® will remain at no cost through December 31, 2025. Novotx will communicate any future pricing, subscription, or maintenance options in advance, with a focus on providing flexible, value-driven offerings tailored to your needs.

Q: How will we learn about and adapt to any new features or updates introduced by Novotx?

As new features or updates become available, Novotx will provide clear communication through email notifications, release notes, and optional webinars or training sessions. Our goal is to make adoption easy and valuable for your team.

Q: Who will provide customer service and support going forward?

Novotx will be the point of contact for all SAM IS®-related support. During the transition, Novotx and VHB technical teams will work together to ensure a smooth knowledge transfer and uninterrupted service. You will continue to have access to knowledgeable support resources. Novotx’s dedicated Customer Success team will provide responsive, knowledgeable support and resources to help you get the most out of SAM IS® and future offerings.

Q: How will ongoing fixes and updates be handled?

Novotx will support any related issues going forward.

Q: Will our uptime guarantee, response times, and service level commitments stay the same?

Yes. Your existing SLAs will remain in effect through December 31, 2025. Novotx will honor all uptime guarantees, response times, and support commitments outlined in your current agreement. As we move forward, any future SLA updates will be communicated well in advance to ensure transparency and continuity. 

Q: Will the software continue to meet the compliance, regulatory, and reporting requirements we are obligated to follow?

Yes. Compliance with municipal and state regulations remains a top priority. Novotx will maintain certifications, data retention policies, and audit capabilities that meet or exceed what you currently have.

Q: Will the software keep its current name or be rebranded under Novotx?

We recognize that the current name carries brand familiarity and trust. In the near term, the product will retain its existing name and identity. Any future branding decisions are at the discretion of Novotx.

Q: What’s the timeline for the transition?

The transition will occur in phases over the next several months, with minimal-to-no disruption to your day-to-day use of the software. There will be a short-scheduled maintenance period when SAM IS® may be unavailable and the plan for this will be communicated with you once completed prior to the transition.

Q: Will the software remain standalone or merge into Novotx’s existing platform?

Novotx will maintain the software as a standalone product to support your current operations. Over time, they will be integrating its strengths with Novotx’s enterprise asset management platform, Elements XS—bringing you enhanced capabilities while preserving the features you rely on today.
